Smart Service is field service software for HVAC, plumbing, electrical, and other trades, built by My Service Depot. Its defining trait is that it is built around QuickBooks rather than bolted onto it. Jobs, customers, invoices, and payments sync two ways with QuickBooks Online or QuickBooks Desktop, so nothing gets keyed in twice. If you already run your books in QuickBooks and do not want to migrate to a standalone platform, that is the whole pitch.

It ships in two forms. Smart Service Desktop installs as a dedicated add-on to QuickBooks Desktop, which is the older and more mature product. Smart Service Cloud is the newer browser-based version that pairs with QuickBooks Online. Both cover scheduling, dispatching, quoting, work orders, service agreements, invoicing, and payments, with technicians working from the iFleet mobile app that carries the customer, equipment, and service history into the field.

Unlike all-in-one platforms such as ServiceTitan or Housecall Pro, Smart Service does not try to replace your accounting system. It extends the one most contractors already own.

Who Smart Service is for

Smart Service fits small to mid-size HVAC and trade shops that are committed to QuickBooks and want scheduling, dispatch, and field data to feed it automatically. It suits offices that value deep form customization and are willing to invest setup time to get there. It is a weaker fit for very large operations that need heavy reporting and analytics, for companies juggling many multi-location or multi-day commercial accounts (where reviewers report it slows down), and for anyone who wants to move off QuickBooks entirely, since QuickBooks is a hard requirement.

  • The posting and dispatch board is easy to read and quick to schedule against, a point reviewers repeatedly call out.
  • A customer portal gives homeowners 24/7 access to request service, view equipment and service history, pay invoices, and let agreement customers confirm or reschedule tune-ups.

Where it falls short

  • Reviewers report the software slows down noticeably when scheduling or working under large customers that have many locations or jobs attached.
  • There is no dedicated place to park unassigned calls, so dispatchers have to work around the gap.
  • Reporting is a common complaint: reviewers say reports either surface too much detail or too little, and it is hard to pull exactly what you want.
  • Glitches, freezes, and crashes come up often in negative reviews, with the iFleet mobile app singled out for stability problems.
  • It handles multi-day jobs poorly, and long-term users report that extracting historical data is slow and can be tied to contract renewal.

Smart Service pricing

Smart Service does not publish real pricing on its site (directory listings show a $1 placeholder), so expect a custom quote and a demo. Independent sources describe a per-seat model: roughly a $250 per month base platform fee plus about $35 per user per month for each iFleet mobile license, meaning a 10-tech shop lands near $600 per month. QuickBooks is required and is a separate cost. There is no free trial or free version, some reviewers report add-on charges beyond the base, and one cited paying around $140 per employee once extras were included. Confirm your own quote before signing.

Verdict

Buy Smart Service if you run QuickBooks, do not want to leave it, and mainly need scheduling, dispatch, customizable forms, and clean two-way accounting sync for a small to mid-size shop. Look elsewhere if you need strong reporting, smooth handling of large multi-location or multi-day commercial accounts, or a rock-solid mobile app, since those are its recurring weak spots. It is a QuickBooks extension first and a field service platform second.
