WorkWave Service is a cloud field service platform for mobile-workforce trades, including HVAC, plumbing, electrical, pest control, and lawn care. WorkWave the company dates to 1984 and grew out of routing and logistics software, so its scheduling, dispatch, GPS tracking, and route optimization are the most mature parts of the product. Around that core it adds a technician mobile app, customer records with equipment and service-agreement history, on-site invoicing and card payments, and reporting.

It is worth separating two WorkWave products. WorkWave Service is the SaaS aimed at small and midsize contractors. ServMan by WorkWave is a heavier, more customizable ERP-style system sold to larger service and delivery operations. This profile covers WorkWave Service. Compared with all-in-one HVAC suites like ServiceTitan or Housecall Pro, WorkWave leans on its routing heritage rather than deep trade-specific workflows, which shows in both its strengths and its gaps.

Who WorkWave is for

WorkWave Service fits small to midsize field-service companies that run several trucks and care most about efficient routing, dispatch, and GPS visibility, especially operations that already lean on WorkWave for other trades. HVAC shops that want route density across a wide territory will get real value from the mapping tools. It is a weaker fit for contractors who want a polished, HVAC-specific workflow out of the box, two-way customer texting, or a short onboarding, and for very small one or two truck shops that will find the learning curve and annual contract heavy for their size.

Strengths and limitations

What it does well

  • Route optimization and GPS tracking are the most developed features, drawing on WorkWave's decades in logistics, which helps shops cut drive time and fuel across dense territories.
  • The technician mobile app handles job details, status updates, custom forms, and on-site card payment collection in the field.
  • Customer records track service history, installed equipment, and recurring service agreements, which supports maintenance-contract programs.
  • Integrates with both QuickBooks Online and QuickBooks Desktop, including Enterprise, so invoice and payment data can flow into existing accounting.
  • New technicians and office users can be added to an account at any time as the business grows.

Where it falls short

  • Reviewers repeatedly describe onboarding and data migration as slow and painful, sometimes stretching over months, with migration staff hard to reach and extra fees to load basic data.
  • The QuickBooks sync is unreliable for some users, with rounding differences causing failed transactions that then have to be edited by hand inside QuickBooks.
  • Customer messaging is limited: texting is one-way and customer-facing text and email options are thin compared with rival HVAC platforms.
  • The interface has a steep learning curve and is described as complex to navigate, so average office staff struggle to use it fully.
  • Contracts are annual and auto-renew unless cancelled in writing 60 days in advance, and several reviewers report billing and support problems.

WorkWave pricing

WorkWave does not publish pricing for WorkWave Service; every plan is quoted after a sales conversation, so expect a custom quote rather than a public tier list. Plans are structured around user count, features, and level of support, and require an annual contract with a 60-day written cancellation notice. Reported figures vary widely, from an entry point cited near $49 per month up to verified user reports of roughly $150 to $250 per user per month for fuller configurations, so treat any single number with caution. There is also a separate onboarding and implementation fee covering setup, customization, training, and migration, which reviewers say can run from about $1,000 into the tens of thousands depending on company size.

Integrations

  • QuickBooks Online
  • QuickBooks Desktop
  • QuickBooks Desktop Enterprise

Verdict

WorkWave Service is a reasonable pick for established small to midsize HVAC and multi-trade shops that value routing and GPS dispatch above all and can absorb a slow onboarding and an annual contract. Shops that want a polished, HVAC-specific workflow, two-way customer texting, or transparent pricing should look at ServiceTitan, Housecall Pro, or Workiz first.
